Welcome to the Virginia PowerSchool Users Group (VAPSUG)



Does your school division or school currently use the PowerSchool student information system?  If so, we would be glad to have you join us.  We host quarterly meetings for members to discuss topics of interest and provide training.  Through our website we host discussion forums and file sharing for members.  We also host an annual end user conference to provide training for staff in your schools.  Come become a part of the community of PowerSchool users in Virginia.

The 2026 Fall VAPSUG Conference is Coming 🍂

Get ready, VAPSUG members! It’s time to lock in the dates for our highly anticipated 2026 Fall VAPSUG Conference. This year, we are once again heading to the beautiful Shenandoah Valley for days packed with learning, networking, and collaboration.


Here are the details you need to know right now so you can clear your schedule:

📍 The Venue-Back by Popular Demand...

We will be gathering at the premier Hotel Madison in the heart of Harrisonburg, VA.


📅 The Schedule at a Glance

In order to hold the conference where members requested it to be held this year, we had to move the conference from our normal timeframe in November to October.  

  • Sunday, October 25th
  • Welcome & Check-In: Members arrive throughout the afternoon and evening. Get settled, shake off the travel, and maybe catch up with colleagues in the lobby!
  • Monday, October 26th
  • Conference Day 1: A full day of dynamic sessions primarily lead by Marcia Brenner Associates (MBA).
  • Tuesday, October 27th
  • Conference Day 2: The deep dives continue with another full day of collaborative learning and networking. Sessions, once again, lead primarily by Marcia Brenner Associates (MBA).
  • Wednesday, October 28th (Tentative)
  • Bonus Half-Day (AM Only): Due to multiple requests, we are currently exploring options to extend the conference for an extra morning session. Note: We will let you know when that decision is final.

Official registration details, hotel block booking links, and our full list of course options will follow through the coming months. For now, just make sure these dates are blocked off in your calendar.

Important End of Year Information Regarding SIF

MINOR CHANGES TO SIF PROCESSES from Steve at LoopData

  • You don’t have to do the first procedure right after school ends; just do it after school ends but before you do PowerSchool rollover. So, we changed the title. 
  • We don’t need to have you set System Enabled to Off and then On again, so we removed those steps.

After School Ends but Before EOY / New Year Rollover
  1. In PowerSchool, from the District Office, go to System Management > Data Exchange > General Setup 
    (You’ll see some controls including a Profile dropdown menu. There are at least two profiles, maybe more. One has the name SIF in it and that’s where you’ll be working.)

  2. Choose the SIF profile in the Profile dropdown. 
    (Now in the SIF profile view, you see sections for General Options and Communications Settings.)

  3. In Communications Settings, next to School Years, uncheck all boxes. 
    (No school years should be check marked when you complete this step.)

  4. Save the page.

After PowerSchool EOY / New Year Rollover is Done
  1. In PowerSchool, from the District Office, go toSystem Management > Data Exchange > General Setup  

  2. Choose the SIF profile in the Profile dropdown. 
    (Now in the SIF profile view, you see sections for General Options and Communications Settings.)

  3. In Communications Settings, next to School Years, check ONLY the box for the new year. 
    (It might not be present until after PowerSchool’s July state reporting update. If it’s not present, stop here and ask PowerSchool support for information.)

  4. Save the page.

  5. Go to Data and Reporting > Data Exchange
    (You’ll see a menu with all the profile names in it and a label that's similar to “Profile Dashboard to View”)

  6. Choose the SIF profile in that dropdown.
    (You see a table with one row for each data type like School Info, Student Personal, etc.) 

  7. At the end of the School Info row, click on Run Now and from that popup menu choose PUBLISH ALL.

  8. Use the same way to choose PUBLISH ALL for Student Personal and Student School Enrollment.
    (Ignore any other data types listed unless Loop Data support tells you otherwise.)

  9. IMPORTANT: Email support@sifworks.comthe day you finish to let us know you’ve done this. 
    (We’ll do your sync in the next day or two so PowerSchool has time to finish the publishing and so our technicians can watch the sync.)
